Terms & Conditions

Please note the Terms & Conditions are currently under review. A summary is provided below. Once the review has taken place we will forward you the updated copy. 

. Booking & Confirmation

  • Provisional Bookings: Bookings are not held provisionally for a set period after an initial inquiry. 
  • Securing the Date: The agreement becomes legally binding only once the Booking Deposit has been paid in cleared funds. Until paid, the venue may be released.

2. Payment Terms

  • Booking Deposit: Payable within 7 days of the agreement being issued and in all cases prior to the hire period.
  • Damage Deposit: Where this is applicable, must be paid within 7 days of the agreement being issued and in all cases prior to the hire period.
  • Balance:  The remaining hire charges must be paid at least 7 Business Days after the hire period begins.
  • Late Payments: Overdue balances will incur interest at a rate of 4% above the Bank of England base rate.

3. Venue Use & Restrictions

  • Access & Control: The hire constitutes a temporary operating license only; it does not create a tenancy. The venue retains the right to enter the premises at any time.
  • Catering & Alcohol: No outside caterers or external food/drink (including alcohol) may be brought onto the premises without prior written consent. 
  • Site Rules: Smoking (including e-cigarettes) is strictly prohibited unless designated areas have been pre-agreed with the venue. No alterations, adhesives, or fixtures may be attached to the walls or venue structure without permission.

4. Safeguarding, Supervision & Conduct

  • Staffing & Vetting: The Hirer is entirely responsible for providing adequate supervisors, instructors, or attendants for their event.
  • Safeguarding Requirements: Hirers must comply with all local safeguarding laws and school policies. 

5. Cancellations

  • By the Hirer: Cancellations must be submitted in writing. Cancellations made with 8 weeks or more notice will be refunded in full. A 50% refund will be made for cancellations made within 4-8 weeks notice, and where cancellation is made giving less than 4 weeks notice, a refund will not be payable.
  • By the Venue: The venue reserves the right to cancel immediately if payments are missed or terms are breached. The venue also retains the right to cancel for operational necessity or maintenance, in which case a full refund of all deposits and fees will be issued.

6. Insurance & Liability

  • Indemnity: The Hirer assumes full liability for any personal injury, theft, or physical damage to the venue caused by their staff, guests, or contractors.
